Booth Allocation Procedures

JALT offers a Priority Booth Allocation System for the AMs whose contributions during the conference and advertising with JALT throughout the previous fiscal year (April 1, 2019 to March 31, 2020) .

The categories are as follows:

Phase 1: Platinum Sponsors (1,000,000 JPY+)

Phase 2: Gold Sponsors (600,000 – 999,999 JPY)

Phase 3: Silver Sponsors (300,000 – 599,999 JPY)

Phase 4: Conference Sponsors (up to 299,999 JPY)

Online forms will be available for Associate Members to register. This year, two forms will be necessary. First, the Booth Application Form is used to submit your request for booth location. The second, EME Participation Form is used to submit all other requests and booth-related information (including requested equipment, number and names of representatives who will be attending the conference, etc.). This EME Participation Form will be accepted after we have confirmed your booth location.

 

1. Priority Booth Allocation

Phase 1 and Phase 2:

Platinum and Gold Sponsors

Date: June 19 to July 30

Process: EME Coordinator or Associate Member Liaison will contact each of you via email with the latest booth layout map and will confirm your preferable locations. Please have several options ready.

Phase 3:

Silver Sponsors

Open: 11:00 (JST) on August 6

Close: 18:00 (JST) on August 20

Process: Please submit your preferable booth location by submitting The Booth Application Form through online. As of the submission start date, spaces will be filled on a first-come, first-serve basis as in the past. In the event that your first choice is not available, you will be given your second choice, and so on. Please be aware that our EME Coordinator or Associate Member Liaison will contact you soon after your submission and confirm your spaces; therefore, we would appreciate it if you could be available to contact on these days. If we are unable to contact you, we may have to move on to the next application.

 

2. Booth Allocation for All Associate Members

Phase 4:

Conference Sponsors and New Members

Open: 11:00 (JST) on August 26

Close: 18:00 (JST) on September 13

Process: Please submit your preferable booth location by submitting The Booth Application Form through online. As of the submission start date, spaces will be filled on a first-come, first-serve basis for all other Conference Sponsors. Please review the EME layout in order to plan your booth selections. In the event that your first choice is not available, you will be given your second choice, and so on. Please be aware that our EME Coordinator will contact you soon after your submission and confirm your spaces. If we are unable to contact you, we may have to move on to the next application.

 

3. EME Participation Form and Associate Members Registration

Submission of The EME Prticipation Form

Open: 11:00 (JST) on August 26

Close: 18:00 (JST) on September 13

Once your booth has been allocated, please submit necessary equipment requests for your booth space and other EME related requests, such as the number of representatives attending the conference, exhibit personnel, advertising requests in the Conference Handbook, conference bag inserts, etc. via the EME Participation Form.
